This policy explains how Automate Marketing (“we”), run by James Lewis in Ireland, uses personal data. We’re the data controller for the data described here. Contact us at sales@automatemarketing.ie.
What we collect
- When you request an audit or contact us: your name, work email, business name, website, phone number (optional), your message, your monthly marketing budget band, what you need most, whether you agreed to the speed test, and whether you’d like marketing emails.
- How you found us: the page you landed on, the referring site, and campaign tags (UTM parameters) in the link you followed. If you accept advertising cookies, the Google click ID too.
- When you use the site: if you accept analytics cookies, how you use our pages (see our cookie policy). Without consent, we don’t use analytics or advertising cookies.
- When you become a client: contact and billing details, and the account access you give us.
Why we use it, and our legal basis
- To reply and prepare your audit: steps you’ve asked us to take before a contract, and our legitimate interest in responding to enquiries.
- The speed test: with your consent, ticked on the form, we send one test enquiry through your website, clearly marked as a test.
- To deliver our services and invoice you: performance of our contract, and legal obligations such as tax records.
- Marketing emails: only with your consent. You can unsubscribe at any time.
- Analytics and advertising: only with your consent, through the cookie banner.
Who we share it with
We use a small number of processors, each under a data-processing agreement:
- HubSpot (CRM), where enquiries and client records are stored.
- Hostinger (website hosting and email), where the site and our mailboxes run.
- Google (Analytics and Ads), only if you accept those cookies.
Where a processor handles data outside the European Economic Area, it does so under the EU’s Standard Contractual Clauses or the EU–US Data Privacy Framework.
We never sell your data.
How long we keep it
- Audit requests that don’t become clients: up to 24 months, then deleted.
- Client records: for the length of the contract plus 6 years, for tax and legal reasons.
- Marketing consent records: until you withdraw consent, plus proof of the withdrawal.
Your rights
You can ask to see, correct, delete or move your data, object to how we use it, or withdraw consent at any time. Email sales@automatemarketing.ie and we’ll reply within one month. If you’re unhappy with how we’ve handled your data, you can complain to the Data Protection Commission at dataprotection.ie.
Changes
We’ll update this page if anything changes, and show the date of the last update.
