Key takeaways

  • The best CRM software is the one your team will update every day. Ease of use beats feature lists.
  • HubSpot has a free plan and the lowest entry price (Starter €7 per seat a month, billed annually, on a limited-time offer when we checked).
  • Pipedrive (from €14 per seat a month) suits small sales teams; Zoho CRM (from €14 per user a month) suits tight budgets that want a large toolset.
  • Salesforce Starter Suite starts at €25 per user a month, but most small Irish teams don't need Salesforce's depth.

Choosing CRM software feels like a features contest. It isn’t. The best CRM for your business is the one your team will update every day without being chased. This guide compares four CRMs that Irish SMEs actually shortlist: HubSpot, Pipedrive, Zoho CRM and Salesforce. Prices are in euro, checked on each vendor’s own pricing page on 16 October 2026.

The short answer Which CRM fits which business.

  • HubSpot if you want marketing and sales in one place, and a free way to start.
  • Pipedrive if you’re a small sales team that lives in its pipeline.
  • Zoho CRM if you’re on a tight budget and want a lot of tools for the money.
  • Salesforce if you’re a larger organisation with complex processes and an admin to run it.

If you’re unsure, start with HubSpot’s free plan or a Pipedrive trial. Both are quick to set up and easy to leave if they don’t fit.

Each vendor also has higher tiers. On the same day: Pipedrive Growth was €468 per seat a year, Premium €708 and Ultimate €948. Zoho CRM Professional was €23 per user a month, Enterprise €40 and Ultimate €52. HubSpot Professional was €90 per seat a month and Enterprise €175, both billed annually.

HubSpot Best for marketing and sales together.

HubSpot’s CRM is free, and its paid plans add email campaigns, automation, calling, live chat and reporting. It’s the most complete all-in-one choice for small teams that want their website forms, emails and pipeline in one place.

Good for: teams of two to fifty that do both marketing and sales; businesses that want a free start.

Watch out for: the jump to Professional (€90 per seat a month, billed annually, plus required onboarding). Many teams never need it.

Pipedrive Best for small sales teams.

Pipedrive is built around a visual sales pipeline. Deals move across stages, and the software nudges you about the next action on each one. Sales teams usually pick it up in a day.

Good for: trades, agencies and B2B firms where selling is the main job and marketing is light.

Watch out for: marketing features are lighter than HubSpot’s. You may need a separate email tool.

Zoho CRM Best value for a large toolset.

Zoho CRM packs a lot into a low price: workflows, assignment rules, AI agents, reports and forecasting on its Standard plan, with automation and inventory on Professional. It also connects to Zoho’s wider set of business apps.

Good for: budget-conscious businesses that want deep features, or already use other Zoho apps.

Watch out for: setup can get complicated. The flexibility is a strength only if someone owns the configuration.

Salesforce Best for complex, larger organisations.

Salesforce is the most configurable CRM here and the standard in many large companies. Its Starter Suite brings the price down for small teams.

Good for: growing firms with complex processes, many teams and someone to administer it.

Watch out for: most small Irish teams pay for depth they don’t use. If you need Salesforce, you’ll want a Salesforce specialist to set it up.

What Irish SMEs need from a CRM Five things to check.

  1. Euro pricing and VAT. All four showed euro prices on their sites. Ask how VAT appears on your invoice.
  2. Accounts integration. Xero’s Irish app store lists connectors for HubSpot and Pipedrive. Most CRMs can also connect through Zapier or Make. Sage connections depend on which Sage product you use.
  3. GDPR. Check where your data is hosted and that the vendor signs a data-processing agreement. Record marketing consent in the CRM.
  4. Phone and email. Calls and emails should log to the contact automatically, or nobody will log them.
  5. Your website forms. Every enquiry should land in the CRM with its source. If it still arrives by email, the CRM won’t be trusted.

Moving off spreadsheets without losing anything.

Most Irish SMEs come to a CRM from a spreadsheet, an inbox or a whiteboard. The move is simpler than it looks:

  1. Export what you have into one spreadsheet: name, company, email, phone, stage, value, next action.
  2. Clean it. Remove duplicates and contacts you’d never call again. A smaller, accurate list beats a big, stale one.
  3. Map the columns to the CRM’s fields before importing. Keep the field list short.
  4. Import a test batch of twenty records and check them by hand.
  5. Import the rest, then keep the old spreadsheet read-only for a month in case anything was missed.

Common CRM mistakes and how to avoid them.

  • Buying the biggest plan first. Start small and upgrade when you hit a real limit.
  • Too many fields. Every extra box is a reason for someone not to update the record.
  • No owner. Someone needs to keep the CRM tidy and decide how it’s used.
  • Leaving enquiries outside it. If web forms still go to an inbox, the CRM will never be complete.
  • No follow-up rules. A CRM that records leads but doesn’t remind anyone to call them back is just a list.
  • Skipping training. One recorded session saves weeks of half-use.

How to choose A one-week test.

Don’t decide from a demo. Run a one-week test instead:

  1. Write down your sales stages on one page: new enquiry, quoted, won, lost.
  2. Pick two CRMs from this guide and start a free plan or trial of each.
  3. Load twenty real deals into both, and connect one website form.
  4. Use them for five working days. Note which one the team opens without being reminded.
  5. Count the clicks to log a call and move a deal. Fewer clicks wins.

The CRM the team keeps using is your answer. Price comes second.

Setting up your CRM Do it yourself, or get help.

Most CRM projects fail in the setup, not the software. Too many fields, a pipeline nobody recognises, and enquiries that never reach the system all push people back to spreadsheets.

Questions? Straight answers.

What is the best CRM software for a small business in Ireland?

For most small Irish businesses, HubSpot, Pipedrive or Zoho CRM. HubSpot suits teams that want marketing and sales in one place and a free way to start. Pipedrive suits small teams focused on a sales pipeline. Zoho suits tight budgets that want lots of tools. The right one is the one your team will actually use every day.

How much does CRM software cost in Ireland?

Entry prices on the vendors' own sites, checked on 16 October 2026: HubSpot Starter €7 per seat a month billed annually (a limited-time offer), Pipedrive Lite €14 per seat a month billed annually, Zoho CRM Standard €14 per user a month, and Salesforce Starter Suite €25 per user a month. Setup and training are extra costs to budget for.

Does a CRM work with Xero?

Usually. Xero's Irish app store lists connectors for HubSpot and Pipedrive, and most CRMs can also connect to Xero through Zapier or Make. The goal is that won deals become invoices without anyone retyping them. Check the connector's own pricing, as many charge a monthly fee.

Is a free CRM good enough?

For a team moving off a spreadsheet, often yes. HubSpot's free plan covers contacts, companies, deals and activity tracking. You'll want a paid plan when you need email campaigns, automation, calling or proper reporting. Start free, prove the team will use it, then upgrade.
